The Chartered Institute of Marketing (CIM) is the controller for the information you provide during the process unless it is stated otherwise. CIM use a third-party applicant tracking system for recruitment purposes. We have a contract in place with our data processors, this means they cannot do anything with your data unless CIM have instructed them to do so. They will not share your personal data with any other organisations, and they will retain and store your data securely for the period we have instructed, which is 6 months unless agreed otherwise.


Our processor is hireful, if you use our online application system, this will direct you to the hireful platform who provide this online service for CIM.

CIM will collect the following personal data in order to process your application. The following applied to candidates who wish to apply for a role/s within CIM.


The purpose of collecting this information is to assess your suitability for the role you have applied for.


· Name

· Address

· Email and other contact information

· Date of birth (if provided on your CV)

· Job history

· Education, such as qualifications and training


We may obtain your personal data from other sources such as:

· Yourself (CV)

· Interviews (notes will be taken)


CIM will carry out some processing of personal data which is necessary for the purpose of our legitimate interests. In some cases processing is necessary for compliance with legal obligations.


All information provided by you will only be used for the purpose of processing your application.


The information provided will not be shared with any third parties and will not be stored outside of the European Economic Area. The information provided, will be held securely in an electronic and physical format.


CIM will use the contact details provided in your application to inform you of the progress. We will also use other supporting information provided to access your suitability for the vacancy/ role.

To apply for a vacancy at CIM, you will use our online applicant tracking system hosted by hireful. CIM will ask for personal details including, name, address, email address, contact details, availability / notice period and your right to work in the UK (you do not need to provide documentation at this stage). CIM’s Recruitment team will have access to these details.


We will also ask for Equal Opportunities information. This is not mandatory, and it will not affect your application if you do not provide this information. If you do provide this information, this will not be shared with anyone outside of the Recruitment team. Any information provided will solely be used to monitor Equal Opportunities statistics, and all information will be made anonymous.

Our hiring managers shortlist the applications for interviews, please be advised the personal data provided on your application will be shared with the hiring manager.

CIM may ask you to participate in online and written testing held within the interview. You may also be asked to take part in a personality profile questionnaire (this is role specific).


During this process, correspondence from yourself (candidate) including emails will be stored in our recruitment inbox. If an application is successful all supporting documents will be transferred over to your employment personnel file. If unsuccessful the correspondence will be securely destroyed 6 months after this process has concluded unless agreed otherwise.


If you are unsuccessful during the recruitment process, CIM will retain your information for a period of 6 months, unless you have given permission to hold your details for the purpose of upcoming suitable roles/vacancies.

If you are successful, CIM will make a conditional offer of employment. We will use the contact details supplied in your application to contact you with the conditional offer.


You will then be asked to provide the following:


· Proof of right to work in the UK

· Referee contact details

· Proof of qualifications and training may be required

· Health questionnaire to establish your fitness to work

· Bank details

· Next of kin

· DBS check if applicable

· National insurance details

· We will also ask you about any reasonable adjustments you may require under the Equality Act 2010. This information will be shared with the relevant managers to ensure everything is in place before you start employment.

Please be advised this privacy policy is regularly reviewed and may be updated from time to time to reflect current legalisation, standard practices and changes to our company.

We take the protection of personal data very seriously and it is important that you know your rights under the general data protection regulation, your rights include the following:


  • Request a copy of all your personal data CIM holds
  • Object to CIM processing your data where the processing is based on legitimate interests and there are no compelling grounds for the CIM to continue processing your data
  • Request we restrict the use of your data in certain circumstances
  • Request for the data we hold to be erased
  • Withdraw your consent for CIM to process your personal data at any particular stage of the application process. However, please be advised if you have entered into a contract with CIM, we have a legal obligation retain your personal data.
